Two colleagues reviewing source documents for an internal AI knowledge base

An AI assistant can make internal information easier to find, but it cannot repair stale policies, scattered ownership, or contradictory source material. A useful answer begins with a trustworthy knowledge base.

Choose a bounded first use

Start with a narrow question set: onboarding steps, a support playbook, or a defined internal process. Do not imply that the assistant knows everything the company knows. State what sources it can use and what it should do when the answer is uncertain.

Name owners for the sources

Every important document needs a person responsible for its accuracy and a review date. That does not mean rewriting every page at once. It means identifying which material is authoritative, which is historical context, and which should not be used by the assistant at all.

Make uncertainty useful

Configure the workflow so the assistant can cite or link the source it used, identify missing information, and route exceptions to a human. A confident-sounding answer without a source is not a reliable operational tool.

Review the feedback

Keep a lightweight record of questions the assistant could not answer, answers users corrected, and topics that produced conflicting guidance. Those are inputs for improving the source material and deciding whether the workflow should expand.

The goal is not an assistant with broad authority. It is a helpful, reviewable interface to information the business is prepared to maintain. Next step: Contact Code Etcetera to discuss where AI assistants could remove friction from your workflow.
